The Workplace Experience Coordinator provides workplace services and administrative support to increase individual well-being, personal productivity, and organizational effectiveness. Host uses people-led, technology-enabled services to connect employees to their environment via their mobile devices, as well as through high-touch services and world-class customer service support delivered by employees like the Workplace Experience Coordinator.

This role is at the forefront of delivering a positive office experience. As part of a 'front-of-house' team, the Workplace Experience Coordinator is responsible for creating a supportive and comfortable atmosphere by welcoming visitors and supporting all employee-facing services.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  


The Workplace Experience Coordinator works to coordinate and provide administrative assistance to deliver a high-quality customer service experience to the teams they support. These services include (but are not limited to):

Concierge services
Reception/switchboard
Conference and meeting room management
Audio/visual support
Meeting and event management
Community programs
Workplace coaching and onboarding
Food services
Parking and commute
Bicycle and local shuttle
Supported employment
Company store
Pet programs
Document services
Mail services
Record archiving
Office supply management
Moves, adds, changes
Furniture management
Space reset
Workplace onboarding

Performs other duties as assigned.

The Workplace Experience Coordinator also assists leadership teams to create great moments in customer service with administrative support like processing invoices, arranging travel, and creating expense reports. You will also provide support to the overall Workplace Experience team, including the management of expenses, coordination of meetings, caring for equipment related to the office or workplace experience, and supply management. 

This individual in this role is also responsible for managing program materials, including their accuracy, production, quality, and retention. It is also vital that the Workplace Experience Coordinator confirms that client and company materials comply with the appropriate brand guidelines, providing great customer service along the way. 
The Workplace Experience Coordinator must understand who customers are and why they're there so you can anticipate needs and offer solutions. As a result, this role requires that you understand general instructions and can solve problems in standard situations via basic analytical skills.
The Workplace Experience Coordinator keeps teams on track by maintaining the integrity of databases and digital tools, certifying that billing for services is handled correctly, and coordinating meetings with client contacts while ensuring customer satisfaction throughout the process.
By quickly responding to customer requests and complaints, you will work to maintain relationships, especially with vendors who provide goods and services to the office, and ensure each has proof of insurance and other contractual documentation in place. You will also administer onboarding for new team members, as well as third-party service providers, and assist in completing the office's business continuity plan.

EDUCATION and EXPERIENCE
  

HS Diploma or GED required. 

A minimum of 1 to 2 years of related experience is preferred, such as front desk, concierge, hospitality, room management, and/or customer service roles.

In this role, you will be at the heart of the office, anticipating the needs of employees and strengthening their connection to the community and providing delight at every touch point. As a result, the ability to comprehend and interpret instructions, correspondence, and memos is vital, along with responding to common inquiries from clients, colleagues, and/or supervisors.

The Workplace Experience Coordinator is responsible for providing excellent service, and must be comfortable presenting information to individuals and groups, showcasing comfort in engaging with new people, and exhibiting a warm, engaging demeanor to assess situations, empathize, and offer assistance.


FINANCIAL KNOWLEDGE
  


In this role, you may be required to calculate simple figures like percentages and maintain basic knowledge of financial terms and principles.


REASONING ABILITY
  


The Workplace Experience Coordinator must understand who customers are and why they're there so you can anticipate needs and offer solutions. As a result, this role prefers that you understand general instructions and can solve problems in standard situations via basic analytical skills.

OTHER SKILLS and ABILITIES
  


To best facilitate a top-tier customer experience, the Workplace Experience Coordinator should have intermediate skills with the Microsoft Office Suite and must be comfortable embracing new technologies and digital tools. The workspaces you will be engaged with may require familiarity with new apps, databases, social networking, cloud technologies, and management platforms.

The ideal candidate will have a genuine interest in anticipating the needs of others with a warm demeanor and a desire to collaborate to achieve goals. The ability to assist with warehouse operations and ability to lift 50 pounds is preferred.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.



SAFETY

1. Complete at a satisfactory level all required and assigned HSE training
2. Follow all activity policies and procedures, including all HSE related requirements at all times
3. Participate in all HSE related programs & activities as required, including incident investigations, interviews, auditing and assessment, etc.
4. Report any condition which you feel could result in an accident or injury and / or stop work if required

In addition:
1. Be aware of and understand all safe work practices and procedures and potential hazards associated with the work environment
2. Maintain and wear at all times required appropriate personal protective equipment (PPE)
3. Apply appropriate material handling techniques at all times,
4. Only operate warehouse equipment and machinery (e.g. pallet jacks, manlifts, etc.) if properly trained, qualified and authorized to do so
