JOB PURPOSE/SUMMARY:

The function of the Real Estate Management Department is to manage day to day requests of properties and coordinate with other departments for execution. The Real Estate Management Department contributes to the accomplishment of the company’s net operating income goal achievement by holding property teams responsible for vacancies. 


Lease Administrator reports to the SVP of Real Estate Management and is responsible for the full scope of Lease Administration services including abstracting and interpreting commercial lease documents and providing analysis of lease documentation.


This position contributes to the accomplishment of the company’s Operational  strategy and goal achievement and objective that will provide an employee-oriented, high performance culture that emphasizes empowerment, absolute accountability, quality, productivity and standards, and Objective and Key Results (OKR’s) attainment, and the recruitment and ongoing development of a superior workforce in accordance to the Company’s Manifesto and Culture Deck.


ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Analyze leases and lease related documents with the ability to abstract key information.
  • Ensure proper rent and additional rent billings (CAM, Utilities, Taxes and Insurance etc) on a quarterly basis are in accordance to lease terms.
  • Review and prepare tenant estoppels.
  • Track critical dates and ensure deadlines within the lease are met. 
  • Create and distribute date ticklers on a monthly basis for tracking dates of lease expirations, option notices, and rent increases to ensure compliance with the terms of the lease. 
  • Set up new tenants in the company database
  • Data entry of the lease terms into company database
  • Maintain real estate database throughout the term of the lease to ensure proper rent roll recording and reporting. 
  • Ongoing maintenance of database upon the occurrence of amendments, new locations, expirations, etc.
  • Ensure that percentage rents or gross sales provisions of the leases are adhered to
  • Review Consumer Price Index adjustments as provided for within a commercial lease.
  • Coordinate with the Real Estate Managers for the timely submission of tenant surrender forms and other lease updates prior to running the monthly rent roll. 
  • Work with the documentation division to prepare documentation for collection letters
  • All other duties as assigned.

MINIMUM QUALIFICATIONS:

Education Associate Degree or BA/BS with related experience preferred

Experience and/or Training Minimum five years’ commercial real estate experience in leasing

  • Extensive document drafting experience, including redlining, and comparison features
  • Ability to handle a fast paced, deadline driven environment
  • Ability to multi-task and prioritize assignments while delivering consistent, quality work product to property managers, brokers, attorneys and clients
  • High level of attention to detail and accuracy
  • Ability to work with little supervision and to seek help when needed
  • Ability to build strong internal and external relationships
  • Strong analytical and communication skills
  • Ability to think independently while working within a group

Technology/Equipment  

  • Advanced level of proficiency in Word, Outlook, and Excel
  • 5+ years MRI and/or Yardi experience
