Assistant Director of Facilities

The Assistant Director of Facilities is a full-time, exempt position reporting to the Director of Facilities. Working collaboratively with the Director of Facilities, this position provides management support and supervision to the building and grounds team, which is accountable for the overall aesthetic of the campus and ensuring that buildings are well maintained.  This role provides oversight of facilities services which includes maintenance, event, and janitorial services. The Assistant Director of Facilities is expected to maintain the highest professional standards while working as a member of a team to create a healthy, safe, and clean school environment.

Duties and Responsibilities:

  • Directly assists in managing and coordinating facility management services on campus including building and grounds maintenance, event logistics, and janitorial services. 

  • Manages building maintenance staff, including hiring, training, personnel development, reviews, etc.

  • Establishes priorities, assigns, and supervises completion of work orders.

  • Ensures work orders are completed in a timely manner and with a commitment to quality.

  • Inspects buildings and grounds to ensure the aesthetics of the campus and monitors equipment for unsafe or malfunctioning conditions.

  • Plans and oversees effective preventative maintenance programs.

  • Develops and maintains positive relationships with all constituencies, both internal and external.

  • Responds immediately to emergency situations and campus concerns.

  • Supports campus security efforts, including assistance in performing campus safety and security drills and awareness of visitors on campus. 

  • Participates in weekly schoolwide calendar planning meetings for event planning and facility usage.

  • Directs all facets of event preparation and support, including set-up, break down, and traffic. Events include, but are not limited to, parent coffees, student assemblies, meetings, and banquets occurring both on and off campus.

  • Works various special events throughout the school year with adjusted work schedules, including after hours. 

  • Contributes to the preparation of budgets and approves payment on invoices for budgeted expenses.

  • Requisitions supplies and equipment needed for maintenance duties and uses school resources prudently.

  • Develops repair and maintenance projections for the property/project.

  • Implements, supervises, and ensures quality assurance for facility services contractors including building maintenance, service technicians, etc.

  • Troubleshoots, evaluates, and makes recommendations to upgrade maintenance operations, improve service, and/or implement savings opportunities.

  • Assists in the planning and execution of snow removal operations, including removing snow from sidewalks, driveways, and parking areas, using snowplows, snow blowers, and snow shovels, and spreading snow-melting products, as needed.

  • Performs other duties and responsibilities as assigned.

  • Responsible for non-work hour technical interventions at the property–on call and/or online.  May require shift work or on-call duty.

Requirements and Qualifications:

  • High school diploma required.

  • Trade certifications, ongoing professional training, and/or college degree preferred.

  • A minimum of 5 years facilities management experience and supervisory responsibility preferred.

  • Valid driver’s license with an acceptable driving record required.

  • Proficiency in computer/software skills preferred, including Google Applications, Microsoft Office Suite and experience using building management systems, such as Facilities Management Express (FMX).

  • Ability to manage and support multiple projects and changing priorities.

  • Must have exceptional oral and written communication skills with a strong customer service orientation.

  • Must be fully vaccinated against COVID-19.

  • While performing the duties of this job, the employee is regularly required to stand, walk, reach with hands and arms, stoop, kneel, crouch, or crawl.

  • The employee is frequently required to sit, have the ability to lift and/or move up to 50 pounds, required to negotiate confined spaces, climb ladders and scaffolding, exposed to fumes or airborne particles and vibration.

  • The employee is regularly exposed to moving mechanical parts and varying weather conditions.

  • The employee is occasionally exposed to high, precarious places and loud noises, required to lift and/or move up to 100 pounds.

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

  • May be required to work extended periods of time without relief when responding to priority/emergency situations.
