Executive Assistant Job Description and Requirements

  • Monday – Friday; 40 hours/week
  • Manage complex calendars including scheduling appointments and managing logistics for meetings and client events
  • Answering calls and managing emails for executives
  • Meeting and greeting guests
  • Completion of detailed corporate expenses including tracking receipts and reimbursements
  • Coordinating travel arrangements including flights, visas/passports, vehicles, hotels, and other reservations
  • Collaborate with the broader team
  • Maintaining and organizing both digital and paper files
  • Manage investor contacts and relations
  • Monitoring and maintaining office equipment and inventory supplies
  • Manage bank accounts and analyze profit and loss statements
  • Assist with a variety of bespoke projects, including event planning, strategic operations, and process improvement initiatives
  • Assist in managing commercial property assets
  • Maintain confidentiality, work in a fast-paced environment, make informed decisions and work independently and efficiently with accuracy in high pressure situations

Skill Requirements

  • Positive and professional attitude with the ability to self-motivate
  • Task oriented
  • Highly proficient with email, calendar, and Microsoft Office Suite
  • High level of attention to detail and accuracy
  • Handle confidential information with diplomacy and discretion
  • Excellent organizational and time-management skills, with the ability to prioritize workload, and multitask to meet deadlines
  • A self-starter with a high degree of energy and careful attention to detail
  • Strong sense of initiative and a process-improvement mindset

Education, Experience, and Pay

  • Bachelor’s degree
  • Preferred candidates have at least 7 years of experience working in the multifamily/apartment industry
  • Pay is $60k + depending on experience + benefits/insurance/bonus etc.
