Facilities Coordinator Role

Basic Function:  Facility Operations is the first point of contact for visitors and staff. Essential Duties and Responsibilities:
- Strong understanding and command of the Microsoft Suite of products. (Word, Excel, Power Point and Outlook)
- Provides coverage at our main reception area for guests, visitors and staff for this site.
- Presents a polite and "I Care and Can Do" attitude to guests, visitors, staff and fellow team members.
- Weekly, creates internal announcements to project on flat screens and updates multiple bulletin boards within our space.
- Is part of a team and assist with projects such as meeting room reservation, room set-up and clean-up, catering, new hire set-up (seat and telephone assignment, internal documents, etc.) and sometimes trouble shooting equipment. Is a valuable resource on-site who understands how to use conference room equipment and provides instruction for staff and guests.  Is a go-to person for all sorts of end user requests.
- Is comfortable in providing site tours, as needed.
- Acts as a liaison between staff and building management. Duties include reporting hot/cold calls, spills, work order requests, burned out lights, safety concerns. Follows up on progress on work order requests and keeps manager updated on issues. Communicates with end users to ensure that ticket(s) were resolved to their satisfaction.
-On site liaison with vending, plant care, catering and service providers.
-Manages two copy rooms and orders supplies within allocated budget. Gives sound consideration to costs if procuring goods and services. Is keenly aware of the impact of expenses on our budget.
-  Also ensures each of four kitchenettes is stocked with coffee/tea/related product and that equipment is in good working order. As needed, liaises with Housekeeping to address cleaning issues.
- Assists in coordinating work station /office/departmental moves. Ensures hotel seating and open seats are cleaned regularly and have current documents.
- Delivers mail and incoming packages. Assists, as needed with processing outgoing shipments.  
- Is a self-starter and is professional and articulate in verbal and written communications. 
- Develops and maintains professional and positive relationships with colleagues, vendors and visitors to the site.
- Represents our core values and maintains a positive and professional demeanor.
- Maintains confidentiality as needed/required. 
- Performs other duties as assigned by supervisor.

Job Qualifications:
Education:  Minimum High School Graduate, or equivalent.  College coursework or completed degree is a plus.
Experience: Demonstrated phone etiquette is essential.  Demonstrated self-starter with ability to handle multiple tasks and projects simultaneously is a must. Experience working in a Corporate Facilities group is also a plus.

Other knowledge, Skills, Abilities or Certifications:  Must be able to work independently, and as a team player.  Ability to adapt to changing priorities in a fast-paced environment is necessary.
